Today exploring OneDrive feature – Request Files

What is “Request Files” feature in OneDrive ?

  • With the file request feature in OneDrive, we can choose a folder where other users can upload files to it using a link that we send them.
  • Users to whome we request files, can only upload files.
  • These users can’t see the content of the folder, edit, delete, or download files.
  • These users can’t even see who else has uploaded files.
  • Anyone with the file request link can send us a file; they don’t need to have OneDrive.
  • Every file will have a prefix to help you identify who uploaded it. Mostly first name and last name of user who uploads the file.
  • If two files with the same name are uploaded, OneDrive will add a number to the name. This applies to the second file uploaded. This happens automatically.
  • People who respond to our request can only upload files. They can’t view or edit the contents of your OneDrive.

Detailed Steps / Demo

Request the Files / Share the link to upload files to other users / Sent the message to other users

  • I am using OneDrive from Teams Web.
  • From left pane of Teams web, I’ll navigate to OneDrive.
  • As we will navigate to OneDrive, as shown in below image.
  • We will create a folder for the files which we request from other users either internal or external users.
  • Here we have created folder called “External files” as shown in below image.
  • Click on ““, we will have an option “Request files” link as shown in below image.

  • As we click on the “Request files” link or option, a popup “Request files for this folder” will appear. We put the message (file description) as shown in the image below.

  • Click on “Next” button.
  • As we click on “Next” button, “Send file request” pop up will appear as shown in below image.
  • On this “Send file request” pop up we will have an option to copy the link. We can copy the link and share with the users from those we are requesting the file.

  • On this “Send file request” pop up, there is an option to share the link via email. This is shown in the above figure.
  • Here, I am selecting two users – one external and one organization user
    • External user – psabadra@gmail.com
    • Tenant user – Garima Sabadra
  • Put the appropriate message which will appear in body of email.
  • Click on “Send” button to sent the message.
  • On successful sent, we will get success message as shown in below image.

Verify the Shared link / users uploads the files

  • Lets verify the link with External user – psabadra@gmail.com
  • psabadra@gmail.com user opens the mail.
  • User receives the mail as shown in below image.
  • In mail, user have “Upload Files” blue button.

  • As user clicks on “Upload Files“, we will be redirected to the generated link. OneDrive page as shown in below image.
  • On the redirected “OneDrive” page, user have an option to “Select files

  • As user click on “Select files” button, user have an option to upload the files.
  • Here user is selecting the file from local drive.
  • User will have an option to enter
    • First name
    • Last name
  • These entered “First name” and “Last name” options will be prefixed to file name.

  • User will get upload progress dialogs as shown in below images.

  • As uploading file finishes, we can see the file in OneDrive as shown in below image.
