On Microsoft 365 Junction we are preparing study material for exam SC-300 – Identity and Access Administrator. We are having very good series of articles and preparation guide as well.

In this article we will discuss Microsoft 365 group-based licensing.

What is Microsoft 365 group-based licensing ?

  • We can assign one or more product licenses to a Microsoft 365 group.
  • Microsoft Entra ID ensures that the licenses are assigned to all members of the group.
  • Any new members who join the group are assigned the appropriate licenses.
  • When they leave the group, those licenses are removed.
  • This licensing management eliminates the need for automating license management via PowerShell to reflect changes in the organization and departmental structure on a per-user basis

Use Case

  • We are testing Copilot in our tenant
  • To verify Copilot feature we need to assign Copilot license to certain users only
  • So we have created the group – “Copilot Users” and added respective members to the group
  • Here the need born – we need to assign Copilot license to our “Copiolt Users” group

What licenses user need – to assign the license to group?

  • Paid or trial subscription for Microsoft Entra ID Premium P1 and above
  • Paid or trial edition of Office 365 Enterprise E3 or Office 365 A3 or Office 365 GCC G3 or Office 365 E3 for GCCH or Office 365 E3 for DOD and above

Few important points

  • License can be assigned to any Security Group in Entra ID
  • All Microsoft cloud services that need user-level licensing are supported. This support includes all Microsoft 365 products, Enterprise Mobility + Security, and Dynamics 365.

  • From left pane, expand the “Billing” section

  • Select an available license from the list.

  • Select the “+ Assign licenses” choice as in below snap

  • Pick the group. Then select the Assign button at the bottom of the page

  • As license assigned successfully, we get success message in right pane
"Microsoft 365 E5 Developer" license is successfully assigned to "office365_governance" group
