Microsoft 365 administration : Microsoft 365 groups – Interview preparation

Preparing for Microsoft 365 continues. Today sharing set of questions and answer for Microsoft 365 groups.

Q 1. What is Microsoft 365 groups?

• It includes a group email and shared workspaces, making it ideal for collaboration.
• It’s like distribution groups. It has its own mailbox.
• Its members get email messages sent to the group.
• It differs from distribution groups. It allows teams to collaborate by providing them with a shared workspace. This workspace includes email, conversations, files, and calendar events.
• At a basic level, a Microsoft 365 group is an object in Microsoft Entra ID with a list of members and a coupling to related workloads including a SharePoint team site, shared Exchange mailbox, Planner, and OneNote notebook

Q 2. How to create Microsoft 365 groups from Microsoft 365 admin center?

• In the Microsoft 365 admin center, in the left-hand navigation pane, select Groups and then select Active groups.
• On the Active groups page, select Add a group on the menu bar. Similar to adding a user, this option starts a wizard that walks you through the process of adding a group.
• On the Group type page, select the appropriate group type.
• On the Set up the basics page, provide a group name and description for the group.
• On the Assign owners page, select an owner for the group. Select in the Owners field to display the list of all active users, or to speed up the search for a given user, enter the first name of the user to display all users with that first name.
• On the Edit settings page, assign a group email address (for mail-enabled groups), identify whether the group is Public or Private, and select whether to create a Microsoft Team for the group.
• On the Review and finish adding group page, review the information you entered, and if necessary, correct any information that you incorrectly entered. When all information is correct, select the Create group button to add the group.

Q 3. What is the difference between Microsoft 365 private and public groups?

• Private group
  • By default Microsoft 365 group are private groups.
  • Content of Private group is visible only to members of the group.
  • Only the owners of group can invite people
• Public group
  • Content of Public group visible to everyone.
  • In Public group, other members can invite other members.

Q 4. What is Distribution Group?

• In Microsoft 365, a distribution group is also known as a distribution list.
• Organizations primarily use it for sending notifications to a group of people.
• We do so by associating a single email address with the distribution group.
• An organization’s email system or mail server distributes messages sent to the group’s email address to all members of the group.

Q 5. What is Security Group?

• A security group provides a convenient way to manage and assign permissions to multiple users simultaneously.
• A security group can grant access permissions to resources such as OneDrive and SharePoint.
• Use this group when we only require a group to grant permissions

Q 6. What is Mail-enabled security group ?

• When we mail-enable a security group, it means the group has an associated email address
• Members of the group can send and receive emails using that address.

Q 7. What is Dynamic distribution group?

• A dynamic distribution group automatically manages its membership based on predefined criteria or filters.
• In a dynamic distribution group, Microsoft 365 dynamically updates its member list based on specific attributes or conditions.
• We create and manage dynamic distribution groups in Exchange Online
• With Exchange Online, administrators can define the criteria or rules for dynamic distribution groups using
  • PowerShell or
  • the Exchange admin center.
• They can base these rules on user attributes such as department, location, job title, or custom attributes.
• Microsoft 365 automatically calculates and updates the membership of the dynamic distribution group based on these rules.

Q 8. What is Group Naming Policy?

• Group naming policy is to enforce a consistent naming strategy for groups created by its users.
• A naming policy can help us to identify
  • function of the group,
  • membership,
  • geographic region

Q 9. What are the license requirement for creating Groups naming policies?

• Microsoft Entra Premium P1 license OR
• Microsoft Entra Basic EDU license
  • These licenses requires for each unique user and guest who is a member of one more Microsoft 365 groups. However, it’s not necessary to assign the license to the users.
  • This licensing requirement also applies to the administrator who creates the groups naming policy.

Q 10. What is the difference between “Security Group” and “Microsoft 365 Group” ?

• Security Groups:
  • Security groups are used to give group members access to applications, resources and assign licenses.
  • Group members can be users, devices, service principals, and other groups.
• Microsoft 365 Groups:
  • Microsoft 365 groups are used for collaboration, giving members access to a shared mailbox, calendar, files, SharePoint site.
  • Group members are only users.
