Small Tricks and Tips – Microsoft 365 administration – Usage reports – how to show / display concealed user, group, and site names in all reports – showing details in usage reports in readable format

Background

  • If we notice in above reports, details in reports are not in readable format
  • Site URL, Owner Display Name and Owner Principal Name are in IDs
  • By default all user details are hidden
  • These settings are explicitly applied to help organizations to support their local privacy laws

Steps to update setting – Display user details – site URL, Display Names… in readable format in all usage reports

  • To un-hide the user level details – Global Administrator needs to change the organization level report setting from Microsoft 365 admin center
  • Navigate to Microsoft 365 admin center
  • Navigate to Microsoft 365 admin center either through office 365 portal or from direct URL – https://admin.microsoft.com/
  • From office portal – navigate to URL – https://portal.office.com

  • Once we are on Microsoft 365 admin center, we could navigate to “Settings” section

  • Click on “Settings” section, drop-down will be collapsed, then we could navigate to – organizational settings page

  • From left pane, click on “Org settings” link, we will be redirected to “Org settings” page / “Services” page

  • Bit scroll down the page to navigate to “Report” settings

  • As shown in above fig, click on “Reports” link. We will be redirected to

  • Uncheck the statement Display concealed user, group, and site names in all reports, and then save changes.

  • As we update this setting, we will be see the details in respective reports in readable format as shown in below fig – we are again exporting all One Drive sites after changing the setting

Permissions required to update the setting – display concealed user, group, and site names in all reports
