Microsoft SharePoint: NEW FEATURE – How to Add Approvals to Any List

Today discussing new feature related to Microsoft SharePoint list.

New Feature – Microsoft SharePoint: Add approvals to any SharePoint list.

Details

• Last year, Microsoft introduces two new SharePoint online list template with Approval app integration.
• Those two new templates are
  • Travel Requests with approvals
  • Content Scheduler with approvals
• We have detailed article for demonstrating the above two teampletes. • Now, Microsoft extended this feature and Approvals are available for any lists.
• Microsoft SharePoint is expanding Approvals to any list, allowing us to configure Approvals by going to the Automate dropdown from the command bar in SharePoint Online lists or in the Microsoft Lists app.

• Once we click on “Configure Approvals“, popup will appear as shown in below image

• As we enable “Approvals“, following approval columns are added to the list
  • Approval status
  • Approvers
  • Responses

• Approvals will be actioned and available from Microsoft Teams.
• To assign the Approvers, click on “Not submitted” from “Approval status” column for a given row as shown in figure below.

• As we click on “Not submitted” approval status, “Request approval” pop up appears
• “Request approval” pop up allows us to enter the “Approvers” and “Details” as shown in below image.

• As we submit the “Approval” request to the “Approvers“, on successful submission, “Approvers” receives a notification in Teams as

• “Approvers” have also more options available under “More actions” drop-down as shown in below image

• As “Approver” approves the request, notification get in Teams as in below image

• Status also get updated in list

• We could see the details of Approval process from the list as well.
• Click on status – “Approved“, pop up “Approval request details” will appear with the details as in image below

• We could disable the approval as well.
• Please note disabling approval will only hide the columns.
